I gave my daughters' schools copies of the court orders a few years back - I was advised that such parties that needed to know should be informed, otherwise they could be in breach of the order without even knowing it.
it does sound like the mother is having separate dialogue with the school.
Go in and have a meeting and get to the bottom of this.
